Before Creating a PDF

STEP 1
Add the copyright notice to the very bottom of the first page of your source document. Please select one from the following options:

For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
2
For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3195-4420-9/26/$31.00 ©2026 Crown

For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3195-4420-9/26/$31.00 ©2026 European Union

Finally, the most frequent case is the paper does not belong to any of the three categories listed above. Then the copyright notice is: 979-8-3195-4420-9/26/$31.00 ©2026 IEEE

If still in doubt, please contact Marian Marciniak at marian.marciniak@ieee.org for the appropriate copyright notice suggestion.

STEP 2
Proofread your source document thoroughly to confirm that it will require no revision. In particular, make sure that there are no grammatical, spelling, or content errors in articles prior to submitting to PDF eXpress.

NOTE 1
We keep the submission files you have previously sent to us. In case you need them, please let us know.

NOTE 2
You are free to introduce minor changes in your ICTON 2026 paper where appropriate at the IEEE Xplore compliant pdf file creation phase. However, major changes including modification of the title and the list of the authors are not recommended, and in any case need our pre-approval.

IMPORTANT: Any changes made to a PDF after IEEE PDF eXpress conversion or PDF Checking may invalidate Xplore compatibility. This includes headers, page numbers, copyright notice, watermarks, etc. If any of these elements are desired, they should be added to the document before a PDF is created.

Creating your PDF eXpress Account

Log in to the IEEE PDF eXpress® site at https://ieee-pdf-express.org/account/login

First-time users should do the following:

1. Create Account [https://ieee-pdf-express.org/account/signup]
2. Enter the following:

  • 71309X for the Conference ID
  • your email address
  • a password

3. Continue to enter information as prompted. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Tips and Remarks

IEEE PDF eXpress is a free online tool helps IEEE conference authors create PDFs that meet the current IEEE Xplore requirements.

PDF eXpress is designed to upload your paper to ensure Xplore compliancy.

The following browsers are recommended to use IEEE PDFeXpress:

  • Firefox 73 to 74 – Windows and Mac OS
  • Chrome 79 to 80 – Windows and Mac OS
  • Internet Explorer 10.0 and 11.0
  • Safari 11 and 12 – Mac OS

Acceptable File Types for Conversion

IEEE PDF eXpress converts the following application formats to PDF:

  • Microsoft Word
  • (La)TeX (LaTeX source file and supported image files must be included in a compressed zip archive)

Reviewing your PDF (Converted by IEEE PDF eXpress)

When your PDF is ready, you will receive an email with the PDF eXpress-generated PDF attached.

You may review the PDF attachment, or view it through your IEEE PDF eXpress account. You will need Adobe Acrobat Reader 4.0 or later.

NOTE for online review: Some browsers cache the older version(s) of your PDF. To ensure that you are viewing the current version of your PDF, clear your browser’s cache. To clear cache from the window displaying your PDF, select “View” from the browser’s toolbar; press & hold the “control” key and select “Refresh” from the drop down list.

You are reviewing your PDF to ensure it looks as it did in the source file you provided. Pay close attention to special characters, as these may not convert correctly.

Printing your PDF and reviewing the hard copy is also recommended.

Revising your converted file

If you are not satisfied with the converted pdf file, you may revise it using the IEEE PDF eXpress tool. Click on the “Try Again” button for the paper you want to change. Remember that you may submit either a PDF or source file(s), until you reach the maximum PDF Checks/Source File Conversions, for that title. If you reach both maximums for a title, contact pdfsupport@ieee.org.

Never use the ‘Submit a New Title option for a submission already in the IEEE PDF eXpress database! Use the “Try Again” option instead.

Requesting a Manual Conversion

If your IEEE PDF eXpress®-generated PDF is showing errors not found in the source, you may use the “Request a Manual Conversion” option. You will be asked to provide specific information about what is wrong with the PDF (include figure and page number references, etc.) Your source file will be sent to our Technical Support [support-ieee@aptaracorp.com] team for special handling.

Finalising your conversion

If your IEEE PDF eXpress®-generated PDF is ready for submission, click on “Approve” button to submit the PDF to the Conference Editor. This is important, as only then we will have access to the converted file.

The IEEE PDF eXpress® is NOT a submission system! Hence please email your camera-ready PDF eXpress®-generated PDF file along with the paper ID number assigned by the system to marian.marciniak@ieee.org.

Contacting PDF eXpress Support

Access the Publications Support Center https://supportcenter.ieee.org/app/answers/list/st/4/kw/PDF%20eXpress/page/1/ for IEEE PDF eXpress. If you do not find an answer to your question on the IEEE Support Center, please email PDFSupport@ieee.org.

Recommended deadline for your submission conversion with IEEE PDF eXpress®: May 31, 2026.

However, please do not wait until last days as unexpected problems may occur.
